What each tool is good at
Looker Studio is Google's free reporting tool. It connects in minutes to Google Analytics 4, Google Ads, Sheets and BigQuery, and it lets a marketer or owner build a shareable dashboard the same afternoon. There is nothing to install and nothing to license for the basic version. For a small team living inside Google's world, that is hard to beat.
Power BI is Microsoft's analytics platform. It is built to pull data from many systems at once, model it cleanly, and keep the numbers consistent and secure as you grow. It connects to databases, finance tools, CRMs and Excel, and it fits naturally if you already use Microsoft 365. The trade-off is a slightly steeper start and a per-user cost.
The real cost of "free"
Looker Studio's free version is genuinely free for light use. The cost creeps in elsewhere. Some third-party connectors carry a monthly fee. Looker Studio Pro adds support and team features for a per-user charge. And once your data outgrows Sheets, you usually need BigQuery behind it, which is billed by storage and query.

When free Looker Studio stops being free
Two changes moved the goalposts for free users. In March 2025, Google capped scheduled email delivery on free accounts at 200 emails a day, 800 a month, and at most 50 recipients per schedule, with only organisation-asset reports on Looker Studio Pro exempt. If a Monday report to every manager quietly stopped arriving, that cap is usually why. Then in April 2026 Google renamed the product back to Data Studio (announced 10 April, live 16 April 2026), fresh confusion for teams who had only just learned the Looker Studio name. Neither change is fatal alone, but together they are the moment many teams decide a governed platform is worth paying for, especially for the reports leadership actually reads.
Signs you have outgrown Looker Studio
You do not need to switch tools for the sake of it. Watch for these triggers instead:
- Dashboards load slowly or time out as data grows.
- You copy and paste, or maintain Sheets by hand, to feed reports.
- You need to combine data from systems beyond Google, such as Xero, HubSpot or a database.
- Different people see different numbers for the same metric.
- You need proper user-level security so people only see their own data.
If two or three of these are true, a free tool is now costing you time and trust. That is the moment Power BI usually earns its licence fee back.
Total cost of ownership
Licensing is the visible cost; it is rarely the whole cost. Factor in the hours your team spends maintaining reports, the risk of a wrong number reaching a board meeting, and the day rate of whoever builds and fixes your dashboards. UK BI specialist day rates run roughly £400 to £850 per day (as of 2026, confirm current pricing). A free tool that eats two days of someone's month is not free.
For a Google-only marketing dashboard, Looker Studio keeps total cost low and is the sensible choice. For numbers leadership runs the business on, drawn from several systems, Power BI's lower long-run cost of ownership usually wins because it removes manual work and reduces the chance of getting the figures wrong.
