Power BI vs Google Sheets: When to Switch

Google Sheets suits shared lists, budgets and collaborative analysis. Power BI suits recurring reports with a defined model across several systems. You can keep a sheet as an input and connect it to Power BI, so the choice can be which job each tool handles. Start with the people editing the inputs, the decisions the report supports and the update schedule it needs.

Where Google Sheets fits

Sheets works well for several people editing a budget, project tracker or data-entry sheet, with comments and revision history. Power BI has a separate role: reading those inputs and presenting a reporting model. For a small team with a few sources and straightforward questions, a maintained spreadsheet may cover the reporting need.

Sheets can update through formulas, imports and scripts. Google's calculation settings and Apps Script triggers describe automatic recalculation and scheduled automation. The useful question is who maintains those updates and checks the resulting figures.

The four breaking points

Review these four parts of the reporting job before choosing a tool:

• Multiple sources. Identify the CRM, accounts and other inputs, how they are joined, and who checks the totals. Decide where those joins will be maintained.
• Refresh. Record which updates are manual, formula-driven or scheduled. Agree how fresh the report needs to be and who checks a completed update.
• Definitions. Give each headline measure an agreed calculation. A shared reporting model is useful when several reports need the same definition.
• Scale. Google documents a 20-million-cell spreadsheet limit. Test the time taken by your own formulas, imports and reporting queries within that limit.

Use the answers to scope either improvements to the existing sheet or a reporting model that reads from it.

How to connect Google Sheets to Power BI

Use Microsoft's native Google Sheets connector:

1. In Power BI Desktop, select Get data and search for Google Sheets.
2. Paste the spreadsheet's browser URL, starting with https://docs.google.com/spreadsheets/d/.
3. Sign in with a Google account that can access the sheet, approve the connection and select Connect.
4. In Navigator, select the data you need. Choose Transform Data to check headers and types, then load it.

This authenticated route supports shared drives. Keep the same source URL for the connection; a new URL can require separate authentication. Follow Microsoft's connector instructions for your installed version.

How refresh works when you combine them

The connector uses Import. Power BI holds a loaded copy; sheet edits reach that copy after a successful data refresh. Keep source edits in Sheets: this connection reads data into Power BI.

In Desktop, use Home → Refresh to fetch the source again. After publishing, configure the semantic model's data-source credentials and refresh schedule in the Power BI service. Run Refresh now, inspect refresh history and check a changed source row before relying on the schedule. Available frequency depends on the licence and capacity.

Reloading the report in a browser or refreshing its visuals reads the model's available data. That is separate from fetching new rows from Sheets. Microsoft explains the refresh types.

If a script updates Sheets first, schedule the model refresh after that update completes. Record the source update time and model refresh time, and compare a control total so the reporting owner can see which data is included.
